Terms & Conditions

Version 2026-11

AAWA Pilates Membership Terms & Conditions

Effective date: 1 November 2026 · Doha, State of Qatar

These Terms and Conditions ("Agreement") constitute a legally binding contract between the Member and AAWA Pilates ("the Studio") governing access to and use of all Studio facilities, classes, and digital platforms including the AAWA mobile application ("the App"). By creating an account, the Member confirms that they have read, understood, and unconditionally agree to be bound by this Agreement in its entirety.

1. Membership & Account

1.1 Membership is strictly personal and non-transferable. No membership account, class credit, or booking entitlement may be assigned, shared, or transferred to any other individual.

1.2 The Member must be a minimum of eighteen (18) years of age. Individuals under the age of eighteen (18) may only participate upon submission of written parental or guardian consent to the Studio prior to their first session.

1.3 The Member bears sole responsibility for maintaining the confidentiality and security of their account credentials. The Studio assumes no liability for unauthorised account access resulting from the Member's failure to safeguard their login information.

2. Bookings & Cancellations

2.1 All class reservations must be made in advance through the AAWA App. Attendance without a confirmed and paid booking shall not be permitted under any circumstances.

2.2 A class reservation is deemed confirmed solely upon successful processing of the applicable payment.

2.3 The Member may cancel a confirmed booking without penalty up to four (4) hours prior to the scheduled class commencement time. The applicable class credit shall be returned to the Member's in-app wallet immediately upon cancellation within the permitted window.

2.4 Cancellations made within four (4) hours of the scheduled class commencement time shall result in the permanent forfeiture of one (1) class credit, irrespective of the reason for cancellation, including medical or personal emergency.

2.5 Failure to attend a confirmed booking without prior cancellation (a "No-Show") shall equally result in the forfeiture of one (1) class credit.

2.6 The Studio reserves the right to cancel or reschedule any class due to insufficient enrolment, instructor unavailability, or circumstances beyond its reasonable control. In such cases, the applicable class credit shall be reinstated to the Member's account in full.

2.7 Members who arrive more than ten (10) minutes after the scheduled class commencement time shall be denied entry. The reserved class credit shall be forfeited and shall not be refunded. This policy exists to preserve the integrity of the class environment and the experience of all Members in attendance.

2.8 A confirmed booking may be rescheduled to an alternative class on one occasion only; a booking which has itself been created by a reschedule may not be rescheduled again. A booking rescheduled within four (4) hours of the scheduled class commencement time shall be recorded as a late reschedule, and the applicable class credit shall be forfeited in full should that rescheduled booking subsequently be cancelled, irrespective of when such cancellation is made. Attendance at the rescheduled class incurs no further charge.

3. Class Packs & Validity

3.1 All class packs carry a fixed validity period commencing from the date of purchase: Intro Pack (5 classes): 30 days · first-time Members only. 5-Class Pack: 30 days. 10-Class Pack: 45 days. 20-Class Pack: 60 days.

3.2 Any class credits remaining unused at the expiry of the applicable validity period shall be permanently forfeited without compensation. No extensions, rollovers, or refunds shall be granted under any circumstances, including medical circumstances.

3.3 Class credits are strictly non-refundable upon activation of a pack.

3.4 The Intro Pack may be purchased once per Member only and is restricted to individuals who have not previously held an AAWA membership. It may not be combined with any promotional offer, discount code, or other concession.

4. Unlimited Membership

4.1 The Unlimited Membership plan entitles the Member to a maximum of one (1) class per calendar day. No additional classes may be booked or attended on the same calendar day under this plan.

4.2 Where the Member has activated auto-renewal and the new billing period has commenced, no refund shall be issued for that billing period, whether or not the Member attends classes during it.

4.3 Unused days within a billing period carry no monetary value and shall not be carried forward to any subsequent period under any circumstances.

4.4 The Unlimited Membership plan may not be paused, extended, or transferred.

5. Pack Freeze

5.1 A Member may request one (1) pack freeze per pack for a single continuous period not exceeding seven (7) days. The freeze must be utilised in its entirety and may not be divided, interrupted, or applied across multiple separate periods. The validity period of the affected pack shall be extended by the exact duration of the approved freeze.

5.2 Freeze requests must be submitted through the AAWA App prior to the intended commencement date of the freeze.

5.3 Freeze requests shall not be applied retroactively to any period that has already elapsed.

6. Waitlist

6.1 Where a class has reached maximum capacity, the Member may elect to join the waitlist. Waitlist positions are assigned chronologically at the time of joining and are not subject to manual adjustment.

6.2 In the event a place becomes available, the Member shall be notified immediately via push notification. Where the Member has enabled the auto-book function, a class place shall be confirmed automatically and one (1) class credit shall be deducted accordingly.

6.3 Where the Member does not wish to be automatically booked, they must either disable the auto-book toggle or manually remove themselves from the waitlist before the four (4) hour cancellation window closes. Failure to take either action shall result in automatic booking confirmation and the deduction of one (1) class credit, which shall not be refunded.

7. Class Levels & Access

7.1 AAWA Pilates offers classes across three levels of progression: Beginner, Intermediate, and Advanced. All classes are conducted on the reformer.

7.2 Beginner-level classes (Control and Posture) and Fluidity (All levels) are accessible to all Members without restriction from the date of account activation.

7.3 Intermediate-level classes (Strength and Sculpt) are accessible to all Members. However, these classes are not recommended for individuals who are new to Pilates or who have not yet developed foundational reformer technique. Members who have not completed the Intro Pack shall receive a non-binding in-app recommendation to do so prior to their first intermediate class. This recommendation does not constitute a restriction on booking.

7.4 Advanced-level classes are accessible solely upon written approval granted by an authorised AAWA instructor through the admin dashboard. Approval is determined exclusively at the professional discretion of Studio instructors, based on observed technique, physical readiness, and consistency of attendance. The Studio reserves the right to withdraw advanced-level access at any time and without prior notice.

8. Health, Safety & Physical Readiness

8.1 The Member warrants that all information provided in the PAR-Q at the time of account creation is accurate, complete, and current to the best of their knowledge.

8.2 The Member accepts a continuing obligation to notify the Studio of any material change in their health or medical status prior to attending any subsequent class following such change.

8.3 Where a Member has indicated a positive response to one or more PAR-Q questions and has elected to participate without submitting a medical clearance letter, that Member shall be deemed to have voluntarily assumed full and sole legal responsibility for all risks, injury, loss, or harm associated with their participation. The Studio, its owners, directors, instructors, and staff are expressly released from any and all liability arising in connection with such participation.

8.4 Studio instructors hold the authority to require any Member to cease, modify, or withdraw from participation in any class where a reasonable concern exists regarding safety.

8.5 The Member is required to disclose any current injury, physical limitation, or area of concern to their instructor immediately prior to each class.

8.6 Grip socks are mandatory for all classes. The Studio reserves the right to deny entry to any Member who does not present appropriate grip socks at the commencement of class.

9. Studio Conduct

9.1 Members are required to arrive no later than ten (10) minutes prior to the scheduled class commencement time. The Studio reserves the right to refuse entry to any Member who presents after this time.

9.2 All personal mobile devices must be set to silent mode prior to entry. Voice and video calls are strictly prohibited within Studio premises at all times.

9.3 Photography, video recording, and audio recording within Studio premises is strictly prohibited at all times, before, during, and after class, without exception.

9.4 All Members are required to conduct themselves with courtesy, respect, and professionalism toward Studio staff, instructors, and fellow Members at all times. Disrespectful, aggressive, threatening, discriminatory, or disruptive conduct shall constitute a material breach of this Agreement.

9.5 AAWA Pilates operates exclusively as a women-only facility. Access is restricted to women and female-identifying individuals only.

9.6 Consumption of food is prohibited within Studio premises. Sealed water bottles are permitted.

9.7 Personal belongings are stored at the Member's own risk. The Studio accepts no liability for items lost, stolen, or damaged on premises.

9.8 Each Member is responsible for returning all Studio equipment to its designated position upon conclusion of each class.

10. Violations & Membership Termination

10.1 Any breach of this Agreement, including violations of conduct standards, the photography prohibition, misrepresentation of health information, or unauthorised use of membership entitlements, shall constitute grounds for immediate suspension or permanent termination of membership, at the sole discretion of the Studio, without refund.

10.2 The Studio reserves the right to refuse entry to or remove any individual whose conduct is inconsistent with the standards set out in this Agreement.

10.3 In cases involving photography or privacy violations, the Studio reserves the right to refer the matter to the relevant authorities in the State of Qatar. The individual responsible bears full and sole legal liability for all consequences.

11. Liability

11.1 Participation in reformer Pilates involves inherent physical risk, including muscular strain, joint injury, cardiovascular stress, or other physical harm.

11.2 The Member confirms they are voluntarily electing to participate and accepts sole responsibility for engaging within their own physical capabilities and limitations.

11.3 The Studio, its owners, directors, employees, instructors, contractors, and agents shall not be held liable for any injury, loss, damage, or harm sustained by the Member in connection with their participation in any Studio class, activity, or use of Studio equipment or premises.

12. Privacy & Data Protection

12.1 Personal and health data is collected exclusively to administer the Member's account and ensure their safety during participation.

12.2 Member data shall not be sold or transferred to any third party without prior explicit written consent, save where required by applicable law.

12.3 Health information is classified as strictly confidential, accessible only to authorised Studio personnel on a need-to-know basis.

12.4 The Member consents to service-related communications via push notification and WhatsApp. Preferences may be updated at any time through account settings.

12.5 The Studio shall not share Member contact information with other Members. Information disclosed within the Studio environment is treated as confidential.

12.6 The Member may request access to, rectification of, or erasure of their personal data at any time through the App.

13. Photography & Social Media

13.1 The Studio shall not photograph, film, or record any Member without prior explicit written consent, for any purpose.

13.2 Photography and recording of others within Studio premises is strictly prohibited at all times without exception.

13.3 Any Member who engages in unauthorised photography or recording of others shall bear full and sole legal responsibility for all consequences, including civil and criminal liability under the laws of the State of Qatar. The Studio disclaims all responsibility for such violations.

13.4 Members may photograph themselves only, where no other person is identifiable in the content.

14. Amendments to this Agreement

14.1 The Studio reserves the right to amend these Terms and Conditions at any time. Members shall be notified of material changes via the App no fewer than fourteen (14) days prior to the effective date.

14.2 Continued use following the effective date of any amendment constitutes acceptance of the revised terms.

14.3 Where a Member does not accept the amended terms, they must notify the Studio in writing prior to the effective date.

15. Governing Law & Jurisdiction

15.1 This Agreement shall be governed by and construed in accordance with the laws of the State of Qatar.

15.2 Any dispute arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the competent courts of the State of Qatar.
